This Data Privacy Addendum applies to invoiceninja.com, app.invoiceninja.com, and invoiceninja.org.
Personal Information Collected
- Account username and email
- Company details (name, website, ID, VAT number, phone, address)
- Sub-user names and emails
- Company demographics (size, industry)
- Geolocation based on IP address
- Billing information (last 4 card digits, expiration, address — paid accounts)
Third-Party Data Access
Per GDPR requirements, the following vendors access user data: Cloudflare, Google Apps, Stripe, PayPal, Postmark App, Luis.ai.
Data Portability & Export
Export account data via Settings in CSV, XLS, or JSON formats at Settings > Import/Export.
Selective export options available:
- Clients
- Contacts
- Credits
- Tasks
- Invoices
- Quotes
- Recurring
- Payments
- Products
- Expenses
- Vendors
- Vendor Contacts
Enterprise-level accounts can export documents as a ZIP file containing all original file types through the Reports section.
Data Deletion
Three irreversible options: delete entire account, purge company data while keeping login, or purge individual client records.
Data Retention
Free accounts inactive for three months face permanent deletion.
Cookies
Cookies are used for traffic analysis and statistical purposes only. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.
Google & Microsoft Login
Users can log in via Google or Microsoft sign-in services, which authenticate identity and allow sharing of personal information like name and email to pre-populate signup forms.
Links to Other Websites
Once you have used links to leave our site, you should note that we do not have any control over that other website. Invoice Ninja is not responsible for the data protection and privacy of any information which you provide whilst visiting any 3rd party site.
Newsletter & Removal/Objection
Invoice Ninja sends periodic newsletter emails announcing new features and functionality. Users can request email purging by contacting privacy@invoiceninja.com or legal@invoiceninja.com.
You may also unsubscribe via the link in every newsletter email footer. Please note that legal notifications about platform status may still be sent.
Reporting Errors (Self-Hosted)
Self-hosted users can opt to report errors directly to Invoice Ninja servers by checking a consent box. This information will only be used for the express purpose of delivering bug fixes for the Invoice Ninja software application.
Changes to this DPA
We may update this Privacy Policy to reflect changes to our information practices. If we make any material changes, we will notify you by email and/or newsletter.
